Every authenticated user has permission to manage the bookmarks on the main page of the My Pages tab.  In addition, some users may be able to manage a bookmarks portlet on other pages, such as a group's page.  The bookmark portlet will function the same, regardless of the page on which it appears.

To Add a Bookmark
 
You may take the following steps in two different places: on the page where the portlet appears or on the main or full view of the portlet.  (You can get to the full view by clicking on the title of the portlet (My Bookmarks, if you are on My Pages tab) or the "Go to Main Screen" link in the bottom right corner of the portlet.)
  • Click on the  The image “http://its-jics3.colby.edu/ics/ui/common/images/PortletImages/Icons/add.gif” cannot be displayed, because it contains errors. or the Add a Bookmark link. 
  • The window will refresh with a form to enter the details of  your bookmark:
    Label - This will be the wording that appears on the page to identify your bookmark.
    URL - Enter the URL for the bookmark.
    Set - By default this will be "Ungrouped".  If you have added other sets (or categories), you may select one from this dropdown list.  See below for instructions on adding new sets.
    Description - You may enter text with further information about the bookmark.
  • Click on Save or Save and Add Another, if you wish to add additional bookmarks at this time.
  • Click on Cancel if you don't want to save this bookmark now.
The only required field is the URL.  If that is all you enter, the URL will appear in your bookmarks list.
 
To edit an existing bookmark or set, go to the main or full view of the bookmark portlet by clicking on the Go to Main Screen link in the bottom right corner of the bookmark portlet or by clicking on the title of the portlet.  (My Bookmarks, if you are on the main page of  your My Pages tab.)  This will take you into the Edit View of your bookmarks portlet.
 
Your bookmarks will be displayed by set, with a checkbox by each bookmark. Each bookmark will have a (Edit) icon and a (Delete) icon.  In addition, each set will have a (Edit) and a (Delete) icon. 
To Edit a Bookmark
  • Click on the icon next to the bookmark you wish to edit.
  • The window will refresh with the same screen for adding a new bookmark, but displaying the details of your bookmark.
  • Make your changes and click on save.
  • The Edit View of the bookmark portlet will redisplay, reflecting the changes you made to your bookmark.

    At the bottom of the Edit View window is an option to take an action (Move, Copy, Delete) on one or more bookmarks.
  • Select the checkbox(es) for the bookmark(s) you wish to take action on.
  • Select the action you wish to take.
  • If you select Move or Copy, select a different set for the selected bookmark(s), if desired.
  • Click on Submit.
  • If you selected Delete, a window will pop-up asking "Are you sure you want to delete this item?" 
  • Click on OK to delete the bookmark(s) or Cancel if you don't want to delete the bookmark(s) now.

To Delete a Bookmark

  • Click on the  icon next to the bookmark you wish to delete.
  • A window will pop-up asking "Are you sure you want to delete this item?"
  • Click OK to delete the bookmark.
  • Click Cancel if you don't want to delete the bookmark at this time.

    OR
  • Select the checkbox before any bookmarks you wish to delete.
  • Beneath the last bookmark in the last set you will see a drop-down menu whose default is Move, followed by the option to choose a different set to which to move the selected items. 
  • Click on the drop-down menu and select Delete.  The option for selecting a different set will disappear and a Submit button will be displayed.
  • Click on Submit.
  • A window will pop-up asking "Are you sure you want to delete this item?"
  • Click OK to delete the bookmark.
  • Click Cancel if you don't want to delete the bookmark at this time.
To Edit a Set (Including Moving Bookmarks from One Set to Another)
  • Click on the icon next to the set you wish to edit.
  • The window will refresh with a similar screen for adding a new set, but displaying the details of your set.
  • Make your changes and click on save.
  • The Edit View of the bookmark portlet will redisplay, reflecting the changes you made to your set.

    Beneath the Position field, you will see a list of boomarks that are currently under this set.  You may apply an action (Move, Copy or Delete) to any of these bookmarks at this time:
  • Select the checkbox for the bookmark(s) you wish to change.
  • Select the action you wish from the initial drop-down list. 
  • If you select Move or Copy, select a different set for the selected bookmark(s), if desired.
  • Click on Save.
To Delete a Set
 
NOTE:  Deleting a set will also delete all the bookmarks that are contained in that set!!  If you don't want to delete the bookmarks in the set, first edit the set and follow the instructions just above for moving the bookmarks to a different set.  Then delete the set:
  • Click on the  icon next to the set you wish to delete.
  • A window will pop-up asking "Are you sure you want to delete this item?"
  • Click OK to delete the set and its contained bookmarks.
  • Click Cancel if you don't want to delete the set and bookmarks at this time.
 If you wish to arrange your bookmarks by category, you will need to add one or more sets.  By default there is an Ungrouped set, which cannot be deleted and is where all bookmarks are added if a different set is not selected.
 
To Add a Set (Category)
 
You may take the following steps in two different ways: during the course of adding a new bookmark, or on the main or full view of the bookmark portlet.
  • Click on the icon or the Add a Set link.
  • The window will refresh with a form to enter the details of your Set:
    Name - This will be the name of your set.
    Description - You may enter text with further information about the set.
    Position- You may select where the set will appear in the list of sets; First or After one of the existing sets.
  • Click on Save or Save and Add Another if you wish to add other sets at this time.
  • Click on Cancel if you don't want to save this set now.
When you are in the main or full view of the bookmarks portlet, you will see a blue Manage tab just below the My Bookmarks - Edit View title:

Hide Editing Tools
 
Clicking on this option will allow you to view your bookmarks without the editing options (the checkbox, the  (Edit) and  (Delete) icons, etc.)
 
If  you have chosen to Hide Editing Tools, when the window refreshes, you will see just the sets and their contained links.  On each set's title line, at the right side of the window, you will notice a    (Collapse) icon.  Clicking on this will hide the list of links.  The name of the set will remain, and there will now be an    (Expand) icon on the right side of the window.  Clicking on that will again display the list of bookmarks.
 
NOTE:  This setting only remains while you are on the bookmarks portlet main view.  If you navigate to other sections of the portal, this setting will be revert to the default view, with the editing tools displayed.
 
Add a Bookmark
 
Clicking on this option will open the form for adding a new bookmark.
 
Add a Set
 
Clicking on this option will open the form for adding a new set
 
Edit a Set
 
Mousing over this option will display a list of the sets you have created, along with the Ungrouped set.  Clicking on the set you wish to edit will open the same window you would get if you clicked on the (Edit) icon for an individual set while on the main or full view of the bookmarks portlet.  Instructions can be found here
 
Order Sets
 
Clicking on the option will open a window displaying a list of the sets you have created, with a number field before each one.  Starting with the number one, they will be displayed in their current order.  To reorder  your sets:
  • Renumber the sets in the order you would like them to be displayed.
  • Click on Save.  You will be returned to the main view of the bookmarks portlet, with the sets in the new order.
 
You may take the following steps on the page where the portlet appears or on the main or full view of the portlet.  (You can get to the full view by clicking on the title of the portlet (My Bookmarks, if you are on My Pages tab) or the "Go to Main Screen" link in the bottom right corner of the portlet.)
  • Click on the (Customize) icon on the right hand side of the title bar of the bookmark portlet to open the Customize portlet My Bookmarks (or the name of the portlet you are customizing) window.
  • There are two tabs in this window:  Preferences and Settings.  The options are described below.
  • Make your changes.
  • Click Save.  NOTE:  In order for all changes to be saved, you must click Save on a tab before going to the other tab. 
  • When you have finished making changes, click on Exit to return to the main view of the portlet.

Preferences Tab
 
Order Bookmarks Alphabetically - Select the checkbox for this option to automatically display your bookmarks in alphabetical order.  If you prefer to manually order your bookmarks, this box should not be checked.
 
Order Sets Alphabetically - Select the checkbox for this option to automatically display your sets in alphabetical order.  If you prefer to manually order your sets, this box should not be checked.
 
Show Empty Sets - By default, sets that have no bookmarks associated with them will be hidden.  To see these sets in your bookmarks portlet, select the checkbox for this option.
 
 
Settings Tab
 
Log Bookmark Clicks - Select the checkbox for this option to track the number of times a bookmark is accessed.  This information will be displayed after the bookmark in the bookmarks portlet, like this:   Colby Apps (Viewed: 12 times)
 
Use Display Indicator - Select the checkbox for this option if you would like the option of selecting a beginning and ending dates and times for the bookmark to be displayed. 
 
If you select this option, when you add or edit a bookmark, you will be able to set these dates and times, as well as the action you'd like applied to the link when the end date and time have passed:  Make Inactive or Delete.
 
If you choose Make Inactive for a link, when the ending date and time have passed, the link will still show up in your list of links when you are in the Edit View of the portlet.  It will show up in an Inactive Set.  You may edit the link at any time to reactivate it.
 
NOTE:  If you have chosen the Use Display Indicator option, have inactive bookmarks and then turn off the Use Display Indicator option, inactive bookmarks will no longer be displayed in the Edit View of the portlet.  You will only see inactive links if  you edit a set that contains the link(s).  Inactive links will appear in the Reorder section at the bottom of the Manage Set View window. 
 
Although you will see an inactive bookmark here, you do not have the option to edit it in order to reactivate it.  To do that, you must turn the Use Display Indicator option back on.  The Inactive set will reappear in the Edit View of the portlet and you can edit an inactive bookmark to make it active again.
